Adding experiences in bulk from your booking platform
If you use Bokun, Rezdy or TourCMS, Headout can pull in your whole catalogue at once. Connect your account with your supplier code, and we fetch every experience on it — you just tick the ones you want on Headout instead of adding them one by one.
Note: On any other platform, add experiences individually by product code — see Adding experiences from your booking platform.
A few words you'll see
- Supplier code — the identifier for your account on your booking platform. It's what lets us fetch your catalogue.
- Product code — the identifier for a single experience.
- Queued — already on Headout, so it can't be selected again.
- Unavailable — not currently sellable on your platform.
Before you start
- Have your supplier code ready from your booking platform.
- Make sure the experiences you want are active and visible on your platform — anything inactive there won't come through.
Here is a walkthrough of how to do it
Step 1 — Connect your account
Go to New Experiences in the left-hand menu and start adding an experience. When prompted, enter your supplier code.
We fetch your catalogue and open the Imported experiences page, showing everything we found.
Step 2 — Find the experiences you want
The page lists your catalogue 20 at a time. To narrow it down:
- Search by product code to jump to a specific experience.
- Sort by A-Z or Z-A.
Some rows carry a badge:
- Queued — already listed on Headout. It can't be selected again, so you won't create a duplicate.
- Unavailable — not currently sellable on your platform.
Experiences that couldn't be imported automatically
Some experiences are grouped under this heading at the bottom, with the reason shown:
- “We couldn't verify all the details needed to import this experience.” — something we need is missing on your platform.
- “This experience's pricing setup isn't supported for automatic import.” — the pricing structure can't be mapped automatically.
These can still go on Headout — use Add without importing and fill in the details yourself.
Step 3 — Select and submit
Tick each experience you want to list. Your running count shows at the bottom, and Deselect all clears it if you want to start over. You can select up to 2,000 at once.
When you're happy, click Continue to review. We then start pulling in the full details for everything you selected.
Step 4 — Track what happens next
Your selected experiences appear on the Experiences page and move through these stages:
- Fetching — we're importing the information. Usually a minute or two, and nothing is needed from you.
- Ready to review — details are pre-filled. Click Review & submit to check them, complete anything missing, and submit. A partly-finished listing shows its progress instead, such as 60% completed.
- Submitting — being processed.
- Pending Headout review — our team is preparing it to go live.
- Live — published and bookable. View live listing becomes available about half an hour later, once the page has built.

Tip: Importing a large catalogue creates a lot of listings at Ready to review at once. Work through them in batches, filtering by status, rather than trying to clear them in one sitting.
Adding more later
To pull in experiences you've added on your platform since connecting, click Change account and re-enter your supplier code. That refreshes your catalogue with the latest data. Use the same button if you need to connect a different account.
Frequently asked questions
Where do I find my supplier code?
In your booking platform's account settings. If you can't find it, your platform's support team will know.
Do I have to review each one?
Yes. We pre-fill what we can, but each listing needs checking and submitting before it goes live.
What if the imported details are wrong?
Correct them at the Review & submit step before submitting.
I don't see the option to import my catalogue.
It has to be enabled for your account, even on Bokun, Rezdy and TourCMS. Add your experiences by product code instead, or raise a ticket and we'll check your setup.
