Creating and managing offers

Offers let you run targeted discounts to boost bookings. Drop your price for slower periods, reward early bookings, or promote specific days, slots or guest types — set it up once and it applies automatically to every eligible booking.

Not available on every account. If you don't see Offers in the left-hand menu, ask an Admin on your account to check your role first. If your role includes Offers and it's still missing, raise a ticket.

A few words you'll see

  • Offer — a percentage discount you set on an option for a chosen period.
  • Option — the variants of an experience the offer applies to. One offer can cover several options of the same experience.
  • Booking dates — the window in which a guest must book to get the offer.
  • Experience dates — the window in which the visit must fall to get the offer.
  • Guest type — a category like Adult, Child or Student.

How offers work: you choose whether the discount is triggered by booking dates (when the guest books), experience dates (when they visit), or both. You can then narrow it to specific days or time slots. Offers apply the moment you activate them — there's no review step.

Before you start

  • Know the experience and the options the offer applies to. One offer can cover several options of the same experience.
  • Decide the discount %, the date window, and whether to limit it to certain days, slots or guest types.
  • The guest types you want must already exist in your schedule — you can't create new ones during offer setup.

Here is a walkthrough of how you can do it

Step 1 — Open Offers and start a new one

In the left-hand menu, click Offers, then Create offer. The setup is a quick 3-step form.

Step 2 — Offer details

Fill in the first section:

  • Name the offer — a name you'll recognise in your list (e.g. Summer Promo). Only you see it.
  • Select experience and option — pick the experience, then tick every option this offer should cover. You can select more than one.
  • Which dates should this offer apply to? — choose one:

    • During experience dates — applies if the guest's visit falls in your dates, whenever they booked.
    • During booking dates — applies based on when the guest books, whenever they visit.
    • Both — applies only if the guest both books and visits within your dates.

    Then set the date range(s) that appear.

  • Guest types and offer percent — tick each guest type you want the offer on and enter its percentage. You can set a different percentage for each. Group-priced options show group sizes here instead. The percentage must be between 1 and 50.

Click Next.

Step 3 — Days and slots

Narrow when the offer applies, or leave everything on “All”:

  • Select daysAll days, or Specific days (then pick the weekdays).
  • Select time slotsAll time slots, or Specific time slots (then pick them). This appears only for experiences with fixed start times.

Click Next.

Step 4 — Preview & confirm

Review the summary of your offer. If something's off, jump back and edit. When it's right, click Activate offer. If you're editing an existing offer, the button says Update offer.

You'll see a confirmation that your offer was activated successfully. It now applies automatically to all eligible bookings.

Managing your offers

Back on the Offers tab, each offer shows its name, the experience and option, its applicable dates, the offer %, and a status:

  • Active — live and showing to eligible guests on Headout
  • Scheduled — set to go live in the future, based on its start date
  • Deactivated — paused — not currently applied (you can resume it)
  • Expired — its date window has ended

Open the Actions menu on any offer to:

  • View details — see the full offer at a glance.
  • Edit — change the name, dates, percentages or targeting, at any status. The experience and options can't be changed once the offer is created.
  • Deactivate — pause an active or scheduled offer.
  • Resume — reactivate a deactivated offer.
  • Delete — remove an offer you no longer need.

Good to know — offer rules

  • An offer percentage must be between 1 and 50.
  • The start date must be today or later, and an offer can run for up to 2 years.
  • Only one offer applies per booking — if several qualify, guests automatically get the best one (highest % off). Offers never stack.
  • Guest types must already exist in your schedule; you can't create new ones here.

Frequently asked questions

What happens if two offers overlap?
Only one offer applies per booking — we automatically give the guest the most favourable one (highest % off). Offers don't stack.

Can I apply an offer to only some guest types?
Yes. On Offer details, tick only the guest types you want and give each one a percentage.

Can I edit an offer after it's live?
Yes, at any status. Changes apply to future bookings that meet the updated conditions. You can't change the experience or the options.

Can I change several offers at once?
Yes. Tick them on the Offers tab and use the bulk Deactivate or Resume.

Can I stop an offer before its end date?
Yes. Use Deactivate from the Actions menu to end it early; Resume brings it back.

What's the difference between booking dates and experience dates?
Booking dates = when the guest books. Experience dates = when they visit. Choose one, or Both to require the guest to book and visit within your windows.

I don't see the Offers tab — why?
Usually your role doesn't include Offers. An Admin on your account can add it under PeopleRoles & access. If your role does include Offers and it still isn't there, it isn't switched on for your account — raise a ticket.

I can see Offers but can't change anything.
You have view access rather than manage access. An Admin on your account can change your role.
